About the Role
Location: Irvine, CA Compensation: $65,000 - $80,000/YR (Exempt) + benefits
Job duties include:
Assist accounting with processing information in payroll system; information may include new employee set up, employees’ hourly rates, salaries, time worked for freelancers, paid leave and holidays, deductions, garnishment, and withholding, address changes, and other maintenance.
Administrate and coordinate 401K Retirement Plan for the group companies with outside financial adviser and service provider as per the Plan Document in compliance with related IRC and ERISA law
Assist with recruiting/on boarding process for hiring; unemployment and COBRA coverage process upon terminations/voluntary leave.
Maintain compliance with federal, state, and local employment and benefits laws and regulations such as USCIS Form I-9 Employment Eligibility Verification; Periodically audits Forms I-9 as well as maintenance of employees’ W-4 form
Obtain and file W-9 form upon procurement of outside specialists (independent contractors/freelancers) as well as confidentiality agreements required under the company policies
Report, maintain, and monitor all workers’ compensation case file; follow up on open cases. Also responsible for insurance underwriters’ workers’ compensation coverage audit procedures
Communicate with insurance agencies to provide certificate of insurance to third party business entities/customers; assist management to procure insurance coverages
Administrate health care plan for group health plans, and monitor employee eligibility for benefits plans, review benefits with employee and processes enrollment, cancellation or changes. Responsible for payroll deductions on a part of employee options in the payroll module
Act as an employee relations and communication specialist
Assist management team in the process of employee performance evaluations and appraisal
Administrate benefit of expatriate working with Overseas HR manager of the parent company
Identify opportunities for process improvement, improve current corporate administration and HR processes, policies and systems
Assist with ad hoc general affairs and administrative duties as assigned
Requirements
Must be bilingual in Japanese/English
Proven working experience in Human Resources and/or general administration
Excellent communication and interpersonal skills
Strong problem solving and creative thinking skills
Excellent organizational skills, ability to multi-task with attention to detail
Strong computer skills with proficiency in Word and Excel
Ability to work in a team setting as well as independently
Must be available for business trips (about every two months)
